1 Acceptance of Terms
These Terms of Service ("Terms") constitute a legally binding agreement between you ("you" or "user") and Orbit Digital LLC ("we," "us," or "our"), a limited liability company organized under the laws of the State of Kansas, United States.
By downloading, installing, creating an account, or using the FlatFlow mobile application (the "App"), you acknowledge that you have read, understood, and agree to be bound by these Terms and our Privacy Policy, which is incorporated herein by reference.
If you do not agree to all of these Terms, you must not access or use the App. Your continued use of the App following any modifications to these Terms constitutes your acceptance of the modified Terms.
2 Eligibility
To use FlatFlow, you must meet the following requirements:
- Age requirement: You must be at least 13 years of age. If you are between 13 and 17 years old, you represent that your parent or legal guardian has reviewed and agreed to these Terms on your behalf and consents to your use of the App.
- Legal capacity: You must have the legal capacity to enter into a binding agreement in your jurisdiction.
- Accurate information: You must provide truthful, accurate, and complete information when creating your account.
- No prior bans: You must not have been previously suspended or removed from FlatFlow for violating these Terms.
By using the App, you represent and warrant that you meet all of the above eligibility requirements. If we discover that you do not meet these requirements, we reserve the right to suspend or terminate your account.
3 Account Registration and Security
To access FlatFlow's features, you must create an account. During registration, you will be asked to provide an email address, create a password, choose a username, and be assigned a profile color.
3.1 Account Responsibilities
- Credential security: You are solely responsible for maintaining the confidentiality of your login credentials (email and password). We strongly recommend using a unique, strong password that you do not use for other services.
- Account activity: You are responsible for all activity that occurs under your account, whether or not you authorized it. If you discover unauthorized use of your account, you must notify us immediately at support@flatflowapp.com.
- Single-user accounts: Each account is intended for use by a single individual. You may not share your account credentials with others or allow multiple people to use a single account.
- One account per person: You may not create multiple accounts. Creating additional accounts to circumvent usage limits, bans, or for any other reason is a violation of these Terms.
3.2 Email Verification
After registration, you must verify your email address by clicking a verification link sent to the email you provided. You will not have access to household features until your email is verified. This verification step ensures account security and enables password recovery.
3.3 Account Information
You may update your username, profile image, profile color, and theme preference at any time through the App's Settings screen. Your email address and password can be managed through the App's account settings. You are responsible for keeping your account information accurate and up to date.
4 Description of the Service
FlatFlow is a household management mobile application designed to help flatmates, housemates, and roommates coordinate the practical aspects of shared living. The App is available on iOS (via the Apple App Store) and Android (via the Google Play Store).
4.1 Core Features
FlatFlow provides the following features for household coordination:
- Dashboard — A central hub displaying priority tasks, summary cards (bills balance, tasks today, active logs, nudges count), and a shopping list preview. Quick-access links to calendar, maintenance, and settings.
- Bills — Create and track shared household expenses. Bills can be categorized (Gas, Electricity, Water, Internet, Rent, Groceries, Household, Subscriptions, Other), split equally or by custom amounts between household members, and set as recurring (Weekly, Biweekly, Monthly, Quarterly, Yearly). Receipts (images or PDFs) can be attached for record-keeping.
- Rotas (Chores) — Set up chore rotation schedules among household members. Choose from 12 icon types and 4 frequencies (Daily, Weekly, Biweekly, Monthly). Tasks are automatically generated and assigned to participants in rotation order. A 5-step creation wizard guides you through setup.
- Nudges — Send friendly reminders to specific household members or the entire household. Nudges are organized by category (Trash, Kitchen, Bathroom, Dishes, Laundry, Noise, Other) and can be sent anonymously. Nudges have Active and Resolved status.
- Shopping List — A shared shopping list for the household. Add items with quantities, check items off, and clear completed items. A "Notify Household" feature alerts members when the list is updated.
- Kitchen & Laundry Logs — Track usage of shared kitchen and laundry resources in real time. Start, extend, and end sessions for various activities (Cooking, Coffee, Meal Prep, Heating Food for kitchen; Washing, Quick Wash, Heavy Load, Drying for laundry). All household members can see who is currently using shared resources.
- Calendar — A monthly calendar view with color-coded event indicators (Bills in red, Rotas in blue, Maintenance in orange, Events in green). View daily agendas and create custom events with date/time selection.
- Maintenance — Track household maintenance issues with priority levels (Low, Medium, High) and status progression (Open, In Progress, Completed). Useful for coordinating repairs and household upkeep.
- House Info — Store and share household details including property address, WiFi credentials, landlord/property manager contacts, emergency contacts, bin collection day, and notes. Manage household membership, share codes, and household settings.
- Notices — Post household announcements that can be pinned to the top for visibility.
4.2 Service Availability
While we strive to maintain continuous availability of the App, we do not guarantee that the App will be available at all times. The App may be temporarily unavailable due to scheduled maintenance, updates, server issues, third-party service outages, or circumstances beyond our control. We will make reasonable efforts to minimize disruptions and, when possible, provide advance notice of planned maintenance.
5 Households and Membership
5.1 Single-Household Architecture
FlatFlow uses a single-household-per-user architecture. Each user may belong to one household at a time. To join a different household, you must first leave your current household.
5.2 Creating a Household
When you create a household, you become its administrator. As the administrator, you have the ability to:
- Set the household name and icon
- Choose the household currency
- Remove members from the household
- Manage household details and settings
- Regenerate the share code
5.3 Joining a Household
To join an existing household, you need a valid 6-character share code provided by an existing household member. By joining a household, you agree that your username, profile color, and profile image will be visible to all other household members, and that all feature data you create within the household (bills, rotas, nudges, etc.) will be shared with all members.
5.4 Leaving a Household
You may leave a household at any time through the App's Settings. When you leave:
- Your household association is immediately removed
- Your push notification token is cleared
- Your scheduled notifications for that household are cancelled
- Your profile is removed from the household's member list
- Historical data you created may remain for other members' records
Subscription owner restriction: If you are the subscription owner of a FlatFlow Plus household, you cannot leave the household while your subscription is active. You must cancel your subscription through the Apple App Store or Google Play Store first, and then leave after the subscription expires.
5.5 Member Removal
The household administrator may remove members from the household. Removed members receive a notification and lose access to all household data. If the removed member is the subscription owner, their subscription continues to benefit the household until it expires or is cancelled.
5.6 Household Limits
Each household may have a maximum of 15 members. Share codes should only be distributed to people you personally know and intend to invite to your household. You are responsible for managing who has access to your household's share code.
6 Subscriptions and Payments
6.1 FlatFlow Plus
FlatFlow Plus is our premium subscription tier that removes all usage limits and unlocks additional features, including:
- Unlimited bills, nudges, maintenance issues, and bill receipts per month
- Unlimited active rotas
- Recurring bill schedules
- Scheduled kitchen and laundry time slots (advance booking)
- Participant reordering in active rotas
- Priority customer support
Plus subscriptions are available in three billing periods: monthly, quarterly, and yearly. Pricing is displayed in the App and may vary by region based on app store pricing tiers.
New subscribers may be eligible for a free trial period (e.g., 1 week for monthly plans, 1 month for quarterly or yearly plans). Trial availability and duration are displayed in the App and may vary. If you cancel before the trial ends, you will not be charged.
6.2 Payment Processing
All subscription payments are processed exclusively through the Apple App Store (for iOS users) and the Google Play Store (for Android users). We use RevenueCat as our subscription management platform to coordinate purchases across platforms.
- We never directly collect, process, or store your payment information (credit card numbers, bank details, etc.)
- Payment terms, refund policies, and billing practices are governed by Apple's and Google's respective terms of service
- Subscription purchases are tied to your Apple ID or Google account, not your FlatFlow account
6.3 Auto-Renewal
All FlatFlow Plus subscriptions automatically renew at the end of each billing period at the then-current subscription price, unless you cancel before the renewal date. Auto-renewal can be managed through:
- iOS: Settings > [Your Name] > Subscriptions > FlatFlow
- Android: Google Play Store > Menu > Subscriptions > FlatFlow
6.4 Cancellation
You may cancel your subscription at any time through your device's app store settings. When you cancel:
- Your subscription will not renew at the end of the current billing period
- You will retain access to all Plus features until the current billing period expires
- After expiration, your household will revert to the free tier, and usage limits will apply going forward
- No data is deleted when downgrading — all your existing bills, rotas, and other data remain intact
6.5 Refunds
We do not process refunds directly. Since all payments are handled by Apple and Google, refund requests must be directed to the respective app store:
- Apple: reportaproblem.apple.com
- Google: Through Google Play Store > Order History
6.6 Price Changes
We reserve the right to change subscription prices at any time. Price changes will be communicated in advance and will take effect at the start of your next billing period after the change. You will have the option to cancel before the new price takes effect. Apple and Google may also notify you of price changes per their own policies.
7 Free Tier and Usage Limits
FlatFlow offers a generous free tier that includes full access to all core features with the following monthly limits per household:

Usage limits reset automatically at the beginning of each calendar month. The following features have no limits on either tier: shopping list items, calendar events, kitchen/laundry logs, notices, and household details.
When you approach a usage limit, the App will display a banner notification. When the limit is reached, you will be unable to create new items in that category until the next month or until you upgrade to FlatFlow Plus.
We reserve the right to modify free tier limits at any time. Any changes will be communicated in advance through the App.
8 User Conduct
You agree to use FlatFlow in a manner consistent with its purpose as a household coordination tool. Specifically, you agree not to:
8.1 Prohibited Actions
- Harassment and abuse: Use the App to harass, bully, threaten, intimidate, or abuse other users, including through nudges, notices, or any other communication feature
- Offensive content: Post, send, or share content that is defamatory, obscene, hateful, discriminatory, or otherwise objectionable
- Illegal activity: Use the App for any purpose that violates applicable local, state, national, or international law or regulation
- Impersonation: Create an account using another person's identity or misrepresent your affiliation with any person or entity
- Unauthorized access: Attempt to access other users' accounts, data, or household information without authorization
- Malicious uploads: Upload files containing viruses, malware, trojan horses, or other harmful code through the receipt upload or profile image features
- System interference: Interfere with or disrupt the App's servers, networks, databases, or infrastructure, or attempt to overload the system
- Reverse engineering: Reverse engineer, decompile, disassemble, or attempt to derive the source code of the App
- Automated access: Use bots, scrapers, crawlers, or other automated tools to access or interact with the App
- Circumvention: Create multiple accounts, manipulate usage data, or take any action to circumvent usage limits, security measures, or account restrictions
- Commercial misuse: Use the App for any commercial purpose unrelated to legitimate household management
- Data harvesting: Collect, harvest, or aggregate personal information of other users without their consent
8.2 Enforcement
We reserve the right to investigate suspected violations of these rules and to take appropriate action, including but not limited to issuing warnings, suspending or permanently terminating your account, and reporting illegal activity to law enforcement authorities. We may take action at our sole discretion and without prior notice if we determine that immediate action is necessary to protect our users or the integrity of the App.
9 User Content
9.1 Definition
"User Content" means all content, data, and information that you create, upload, submit, or store through the App, including but not limited to: bill descriptions and amounts, receipt images and PDFs, rota names and descriptions, nudge messages, shopping list items, calendar event details, maintenance issue reports, notice content, profile images, household details (address, WiFi credentials, landlord information), and any other text, images, or files you provide.
9.2 Ownership
You retain full ownership of all User Content you create or upload to FlatFlow. We do not claim any ownership rights in your content. Nothing in these Terms transfers ownership of your content to us.
9.3 License Grant
By submitting User Content to FlatFlow, you grant Orbit Digital LLC a limited, non-exclusive, worldwide, royalty-free, fully paid-up license to:
- Store your content on our servers (Firebase/Google Cloud)
- Process and display your content within the App to you and your household members
- Transmit your content as part of push notification payloads (e.g., nudge messages)
- Include your content in data exports if you request one
- Create backups of your content as part of our standard infrastructure operations
This license is granted solely for the purpose of operating and providing the App's features. We do not use your content for advertising, marketing, AI/ML training, profiling, analytics, or any other purpose unrelated to delivering the App's functionality to you and your household.
This license terminates when you delete the specific content or when your account is deleted, except where data retention is required by law.
9.4 Content Responsibility
You are solely responsible for the User Content you create and share. You represent and warrant that:
- You have the right to submit all content you provide
- Your content does not infringe on any third party's intellectual property rights, privacy rights, or other rights
- Your content complies with these Terms and all applicable laws
9.5 Shared Content
Content you create within a household is visible to all members of that household in real time. This is a core design principle of FlatFlow. Please exercise appropriate care when sharing sensitive information such as:
- WiFi passwords and network credentials
- Landlord or property manager personal contact details
- Financial information in bill descriptions or notes
- Emergency contact details
We are not responsible for how other household members use or share information you post within the App.
9.6 Content Moderation
We do not proactively monitor or review User Content. However, we reserve the right to remove or disable access to any content that violates these Terms if brought to our attention. If you encounter abusive or inappropriate content, please report it to support@flatflowapp.com.
10 Push Notifications
FlatFlow uses push notifications to deliver timely information about household activity. By enabling notifications, you consent to receiving the following types of alerts:
- Bill reminders — Notifications about upcoming bill due dates, scheduled 1 day before the due date
- Chore reminders — Daily reminders at 9:00 AM UTC for chore tasks assigned to you
- Nudge alerts — Notifications when a household member sends you a nudge
- Household changes — Alerts when members join, leave, or are removed from your household
You can disable push notifications entirely at any time through your device's system settings. Disabling notifications will not affect any other functionality of the App. We do not send marketing, promotional, or advertising notifications.
11 Privacy
Your privacy is important to us. Our Privacy Policy describes in detail what information we collect, how we use it, who we share it with, and how we protect it. The Privacy Policy is incorporated into and forms part of these Terms of Service.
By using FlatFlow, you acknowledge that you have read and understood our Privacy Policy, and you consent to the collection, use, and disclosure of your information as described therein. Key highlights include:
- We do not sell your personal data
- We use minimal analytics for app stability — no advertising or behavioral tracking
- All data is encrypted in transit and at rest
- You can request account deletion and data export at any time
12 Intellectual Property
12.1 Our Intellectual Property
The FlatFlow name, logo, app icon, visual design, user interface, animations, brand colors, documentation, and all associated visual and functional elements (collectively, "FlatFlow IP") are the exclusive property of Orbit Digital LLC and are protected by applicable copyright, trademark, and intellectual property laws.
We grant you a limited, non-exclusive, non-transferable, revocable license to use the App for its intended purpose on devices you own or control. This license does not grant you any right to:
- Copy, modify, distribute, or create derivative works based on the App or FlatFlow IP
- Use the FlatFlow name, logo, or branding for any purpose without our prior written consent
- Sublicense, sell, or commercially exploit the App or any portion thereof
- Remove, alter, or obscure any copyright, trademark, or proprietary notices
12.2 Feedback
If you provide us with suggestions, ideas, feedback, or recommendations regarding the App (collectively, "Feedback"), you grant us a perpetual, irrevocable, non-exclusive, royalty-free license to use, modify, and incorporate that Feedback into the App without any obligation to compensate you or credit you.
13 Third-Party Services
FlatFlow relies on third-party services to operate. These services have their own terms of service and privacy policies that may apply to your use of the App. Key third-party services include:
- Firebase (Google LLC) — Authentication, database, file storage, cloud messaging, and serverless functions
- RevenueCat (RevenueCat, Inc.) — Subscription management across iOS and Android
- Expo (650 Industries, Inc.) — Push notification delivery and development infrastructure
- Resend (Resend, Inc.) — Email delivery for customer support communications
- Apple App Store (Apple Inc.) — iOS app distribution and in-app purchase processing
- Google Play Store (Google LLC) — Android app distribution and in-app purchase processing
We are not responsible for the availability, reliability, accuracy, or practices of any third-party service. Outages or issues with third-party services may affect the availability or functionality of FlatFlow, and we are not liable for such disruptions.
Your use of third-party services for payment processing (Apple App Store, Google Play Store) is governed by their respective terms of service and is outside our control.
14 Disclaimers
THE APP IS PROVIDED ON AN "AS IS" AND "AS AVAILABLE" BASIS WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS, IMPLIED, STATUTORY, OR OTHERWISE, INCLUDING BUT NOT LIMITED TO IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, AND NON-INFRINGEMENT.
Without limiting the foregoing, we specifically disclaim the following:
- No uptime guarantee: We do not guarantee that the App will be available at all times or that it will be free from errors, bugs, or security vulnerabilities.
- Not a financial service: FlatFlow is a household coordination tool, not a financial service, payment processor, banking application, or accounting software. Bill splitting calculations are provided as a convenience tool and should be independently verified by users. We are not responsible for any financial discrepancies, disputes, or losses arising from the use of the bill-splitting feature.
- Not legal advice: Nothing in the App constitutes legal advice. Household agreements, landlord communications, and maintenance responsibilities should be handled according to your lease agreement and applicable local laws.
- No guarantee of accuracy: We do not review, verify, or guarantee the accuracy, completeness, or reliability of any User Content created by you or other household members.
- Household disputes: We are not a party to and are not responsible for any disputes, disagreements, or conflicts between household members that may arise from the use of the App. FlatFlow is a tool to facilitate coordination; it does not mediate or resolve interpersonal disputes.
- Data preservation: While we take reasonable measures to protect your data, we do not guarantee that data loss will never occur. You are encouraged to keep your own records of important financial information.
15 Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, IN NO EVENT SHALL ORBIT DIGITAL LLC, ITS MEMBERS, OFFICERS, EMPLOYEES, AGENTS, OR AFFILIATES BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO DAMAGES FOR LOSS OF PROFITS, GOODWILL, USE, DATA, OR OTHER INTANGIBLE LOSSES, ARISING OUT OF OR IN CONNECTION WITH YOUR USE OF OR INABILITY TO USE THE APP.
This limitation applies regardless of the legal theory on which the claim is based, whether in contract, tort (including negligence), strict liability, or otherwise, and regardless of whether we have been advised of the possibility of such damages.
Our total aggregate liability for any and all claims arising from or related to these Terms or the App shall not exceed the greater of:
- The total amount you have paid to us through subscription fees in the twelve (12) months immediately preceding the event giving rise to the claim, or
- One hundred U.S. dollars ($100.00)
Some jurisdictions do not allow the exclusion or limitation of incidental or consequential damages, so the above limitations may not apply to you. In such cases, our liability shall be limited to the fullest extent permitted by applicable law.
16 Indemnification
You agree to indemnify, defend, and hold harmless Orbit Digital LLC and its members, officers, employees, agents, contractors, and affiliates from and against any and all claims, demands, liabilities, damages, losses, costs, and expenses (including reasonable attorneys' fees and court costs) arising out of or in connection with:
- Your use of or access to the App
- Your violation of these Terms of Service
- Your violation of any applicable law, regulation, or third-party right
- Your User Content, including any claim that your content infringes the intellectual property or other rights of a third party
- Any dispute between you and other household members relating to the App
We reserve the right, at our own expense, to assume the exclusive defense and control of any matter subject to indemnification by you, in which event you will cooperate with us in asserting any available defenses.
17 Termination
17.1 Termination by You
You may stop using the App at any time. To request deletion of your account and all associated data, contact us at support@flatflowapp.com. Account deletion will be processed within 30 days of receiving a verified request. If you have an active subscription, please cancel it through your app store settings before requesting account deletion.
17.2 Termination by Us
We may suspend or terminate your account and access to the App at any time, with or without cause, including but not limited to:
- Violation of these Terms of Service
- Engaging in abusive, harassing, or illegal behavior
- Creating multiple accounts to circumvent limits or bans
- Extended periods of inactivity (we will notify you before any inactivity-based termination)
- Discontinuation of the App or any part thereof
We will make reasonable efforts to notify you before or at the time of termination, unless immediate action is required to protect our users, our infrastructure, or comply with legal obligations.
17.3 Effect of Termination
Upon termination of your account:
- Your right to access and use the App ceases immediately
- We may delete your account data in accordance with our Privacy Policy and data retention practices
- Any outstanding subscription fees are non-refundable (cancellations and refunds are handled by Apple/Google)
- Provisions of these Terms that by their nature should survive termination will remain in effect, including but not limited to: Section 9 (User Content — license grant), Section 14 (Disclaimers), Section 15 (Limitation of Liability), Section 16 (Indemnification), Section 18 (Governing Law), and Section 20 (General Provisions)
18 Governing Law and Dispute Resolution
18.1 Governing Law
These Terms and any dispute arising from or relating to these Terms or the App shall be governed by and construed in accordance with the laws of the State of Kansas, United States, without regard to its conflict of law provisions.
18.2 Informal Resolution
Before initiating any formal legal action, you agree to first contact us at support@flatflowapp.com and attempt to resolve the dispute informally. We will make good faith efforts to resolve any dispute within 30 days of receiving your notice.
18.3 Jurisdiction
If informal resolution is unsuccessful, any legal action or proceeding arising under these Terms shall be brought exclusively in the state or federal courts located in the State of Kansas. You consent to the personal jurisdiction and venue of such courts and waive any objection to inconvenient forum.
18.4 Class Action Waiver
You agree that any dispute resolution proceedings will be conducted only on an individual basis and not in a class, consolidated, or representative action. You expressly waive any right to participate in a class action lawsuit or class-wide arbitration against Orbit Digital LLC.
19 Changes to These Terms
We reserve the right to modify these Terms of Service at any time. When we make changes:
- Material changes: We will notify you via push notification, in-app notice, or email at least 30 days before the changes take effect. Material changes include modifications to payment terms, liability provisions, dispute resolution, or any change that materially affects your rights or obligations.
- Non-material changes: Clarifications, formatting updates, or minor wording changes may be made without prior notice.
The "Effective Date" and "Last Updated" dates at the top of these Terms indicate when they were last revised. Your continued use of the App after the effective date of any changes constitutes your acceptance of the modified Terms. If you do not agree with the changes, you must stop using the App and may request account deletion.
20 General Provisions
- Entire Agreement: These Terms, together with our Privacy Policy, constitute the entire agreement between you and Orbit Digital LLC regarding your use of the App and supersede all prior or contemporaneous agreements, understandings, and communications, whether written or oral.
- Severability: If any provision of these Terms is found by a court of competent jurisdiction to be invalid, illegal, or unenforceable, that provision shall be enforced to the maximum extent permissible, and the remaining provisions shall remain in full force and effect.
- Waiver: Our failure to enforce any right or provision of these Terms at any time shall not constitute a waiver of such right or provision. A waiver of any right or provision will only be effective if it is in writing and signed by an authorized representative of Orbit Digital LLC.
- Assignment: You may not assign, transfer, or delegate your rights or obligations under these Terms without our prior written consent. We may freely assign our rights and obligations under these Terms without restriction or notification to you, including in connection with a merger, acquisition, or sale of assets.
- Force Majeure: We shall not be liable for any failure or delay in performance resulting from circumstances beyond our reasonable control, including but not limited to natural disasters, pandemics, acts of government, internet or telecommunications failures, power outages, and third-party service provider outages.
- No Third-Party Beneficiaries: These Terms do not create any third-party beneficiary rights in any individual or entity that is not a party to these Terms.
- Headings: Section headings are included for convenience only and shall not be used to interpret or construe the provisions of these Terms.
